It recently came to our attention that restorations posted to one of our volunteer's Flickr page clearly displayed the image owners' names and contact information.

While OPR allows with certain limitations for volunteers to post their work to outside resources, we do require that the image owners' privacy be protected every step of the way.

Here's the best way to do so:

1. After the completed restoration has been uploaded to Photoshelter, save a different version on your own computer/harddrive with a new ambiguous name (i.e. OPRwork1.jpg). DO NOT CHANGE THE FILE NAME PRIOR TO UPLOADING THE RESTORED VERSION TO PHOTOSHELTER -- THIS CANNOT BE STRESSED ENOUGH!!!

2. Before posting the RENAMED VERSION to an outside resource,go into the meta data (file info) and wipe out any of the image owner's personal information.

3. Please keep an unchanged restored version as well, just in case the upload never reached Photoshelter or for any other unforeseen circumstances that may occur.

At this time, I would ask every volunteer who has posted OPR work to an outside resource to ensure that any personal information is not viewable to anyone outside of this organization.

I would also emphasize that while we do condone the posting of OPR work to outside resources, the intent should be to promote the work that OPR accomplishes and not for personal gain (financial or otherwise).

When I post a work in progress thread here in these forums, sometimes I change the name to something completely different and sometimes I don't. I've never gone in and changed any metadata. Should I be doing this before posting a WIP to these forums?  I guess it couldn't hurt to error on the side of caution.  I've never gone in and changed the metadata before, how do I do it?  Actually, now that I think about it, anything that I've posted on here, I've saved as a completely new file. Does the metadata still carry over to a new file, when you do a "save as" or "save for web"?

The meta data stays with the file unless you delete it. If you're using Photoshop, go under the file menu and select "file info". The image owner's information is typed in the caption info field.

Please keep the meta data with the original file and with the restoration that you return to OPR.

That info isn't always there. When we first started OPR we didn't realize what we were sending out. As we have grown, we have found ways to block the info from getting out to prevent stuff like this...so every once in awhile you might come across a photo with that info. But basically check the file--if it looks personal, don't include it...if it doesn't look personal you should be good to go...

I checked and every single one I got has file info filled with the name, address and phone.  I have images at Photobucket only for this forum.  Should I clean them?  I am afraid that I will break some links if I do so.

As far as I know Photobucket will only show these exif data pieces, no names.

There is another easier and faster way of removing the metadata than removing each part individually. Check the original for size and resolution and create a brand new file with the exact same size and resolution. Name the new file and then drag and drop the other file with the metadata in on top as a new layer. Because you have created a new file with no metadata, the new layer that your brought over will not contain any of that information. This is very handy if you want to send a picture but do not want the receiver to know everything such as make of camera, settings, etc. This works on Photoshop but not sure on other software.

Having said that, I am guilty of posting a picture on the Forum via photobucket that had all of the metadata intact--should I go back and delete that picture?  Tassie D’s last post seems to answer that question.

I've downloaded some files from Photobucket recently and they had full EXIF data including camera details and image title text.

We're not so worried about the EXIF data as we are the personal information of the image owner.

I understand that and regret that I did not make my point very clearly. To reiterate:
In recent downloads from Photobucket the owner's personal information is downloading in the 'Image title' field in the EXIF data.
This is contrary to a comment made earlier about downloads from Photobucket, which is why I thought I should update the thread.
